Signing into your mail client

Our policy enforces 2-Step authentication for signing into your Google mail account. Mail clients such as Microsoft Outlook allow Google logins with 2-step authentication. For those that don't you can generate an app password.

 

Generating an app password

To turn on “2-Step Verification” please follow the below steps :  

  • Go to your Google Account.
  • Select Security.
  • Under 'Signing in to Google', select 2-Step Verification.
  • At the bottom of the page, select App passwords.
  • Enter a name that helps you remember where you’ll use the app password.
  • Select Generate.
  • To enter the app password, follow the instructions on your screen. The app password is the 16-character code that is generated on your device.
  • Select Done.

While configuring your SMTP settings enter the “App Password” which was generated in the password field.

You may require the IMAP/POP3/SMTP settings so you can use another mail client to send and receive your Gmail emails. The IMAP/POP3 server address is used to retrieve your email from the mail server and the SMTP server address is used to send emails from the mail server. We recommend that you use IMAP instead of POP3 when possible to retrieve your emails. For instructions that are specific to your preffered mail client, please click here.

 

IMAP settings

  • IMAP server address: imap.gmail.com
  • Port number: 993
  • Use SSL: yes
  • Username: your student account email address (e.g. up874069@myport.ac.uk) or your staff account email address (e.g. joe.bloggs@port.ac.uk)
  • Password: your computer account password

 

POP settings

  • IMAP server address: pop.gmail.com
  • Port number: 995
  • Use SSL: yes
  • Username: your student account email address (e.g. up874069@myport.ac.uk) or your staff account email address (e.g. joe.bloggs@port.ac.uk)
  • Password: your computer account password

 

SMTP settings

  • SMTP server address: smtp.gmail.com
  • Port number: 465
  • Use SSL: yes
  • Username: your student account email address (e.g. up874069@myport.ac.uk) or your staff account email address (e.g. joe.bloggs@port.ac.uk)
  • Password: your computer account password
