Your Gmail account is the main method of communication in the University, so make sure to check it regularly.

Your main email address is: UP123456@myport.ac.uk use this to log into your Gmail account and access any Google Apps, including your calendar.

Note: If you have studied with us previously, your email address may be slightly different.

You also have an email alias, which can be used when applying for jobs, etc. Your email alias is; firstname.lastname@myport.ac.uk. For example, joe.bloggs@myport.ac.uk.

Note: you can't use this second address to log into your Google account, and if you have a previously used name, you will have a number in the email address: joe.bloggs2@myport.ac.uk.

Your University email account is available for the duration of your studies.

Send and receive your Gmail emails from another mail client

If you use a mail app or client and you'd like to send and receive your university emails from the same account, you might need specific settings.

You'll need the IMAP or POP3 server address to receive your Gmail emails in your mail client. We recommend you use IMAP where possible. You'll need the SMTP server address to send emails from your Gmail address from your mail client.

Server address settings

  • IMAP server address: imap.gmail.com
  • Port number: 993
  • Use SSL: yes
  • Username: your student account email address (e.g. up123456@myport.ac.uk) or your staff account email address (e.g. joe.bloggs@port.ac.uk)
  • Password: your computer account password

  • Port number: 995
  • Use SSL: yes
  • Username: your student account email address (e.g. up123456@myport.ac.uk) or your staff account email address (e.g. joe.bloggs@port.ac.uk)

Forward all emails in your Gmail inbox to another email address

From your University Google Mail account, choose the settings cog in the top right-hand corner of the screen,

  1. Select Settings View image here
  2. Select the Forwarding and POP/IMAP tab View image here
  3. Under the Forwarding section, select Add a forwarding address View image here
  4. Enter the email address you wish to forward to and click Next View image here
  5. You will be prompted to confirm the forwarding address, click Proceed
  6. From the inbox of the forwarded address, open the confirmation email originating from the University of Portsmouth View image here
  7. Click the verification link View image here
  8. To confirm the mail forwarding, click Confirm when prompted View image here
  9. You will receive confirmation that the forwarding has been successful View image here
  10.  Return to your University Google Mail account and choose the settings option again, under the Forwarding and POP/IMAP tab,
  11.  Set the option to Forward a copy of incoming mail to View image here

Google Workspace

Along with your Gmail account, your email address and password will give you access to Google Calendar and Drive, including Docs, Sheets and Slides, and many more apps.

Google Drive is a cloud storage solution included with your google account. This is storage you can access anywhere, without needing to connect to the University's virtual private network.

International access to Google Apps

Depending on the country you're in, you may find that access to your University Google Apps account will be limited, inconsistent or blocked completely.

We recommend that before you travel, you check the Google Transparency Report website, to ascertain current access in the country or region you are visiting.

If you need to access UoP services off campus, you can install the University’s virtual private network (VPN). Please note, using VPN may not guarantee you access to your University Google Apps in all countries.
