Appointment Attendance

We want to support you in accessing our service by attending booked appointments, informing us of any amendments or cancellations in a timely manner and being prepared for appointments.

Our key aims for these guidelines are as follows:

  • Making the most of one to one appointments
  • Ensuring attendance at booked appointments
  • Communicating our expectations
  • Meeting demand for appointments by reducing the number that are cancelled or missed

 

Our appointment guidelines

  • If an appointment is taking place in-person, we ask that you arrive 5 minutes before the appointment is due to start and let us know you have arrived. If the appointment is online or over the telephone, please be ready to attend your appointment at the start time.
  • You will be sent a booking confirmation email at the time of booking, and additionally a booking reminder email the day before your appointment. These emails include the appointment time and location.
  • If you have booked a telephone or online appointment please ensure that you are in a suitable environment for your appointment. You should be in a quiet place where you are able to concentrate and speak with the adviser. Some of our face to face appointments are conducted at open desks in our main centre.  Please let us know in advance if for any reason your appointment needs to be in a more private space.
  • If the adviser feels that the location is not suitable for an effective discussion they may decide to end the appointment and ask you to reschedule when you are able to be in a more suitable environment. 

Please ensure you are attending the appointments that you book with Careers and Employability. If you are no longer able to attend your appointment, we ask that you inform us 24 hours in advance

Cancellations can be made by contacting the Careers and Employability service over email at careers@port.ac.uk, or over telephone on 023 9284 2684, or in-person 24 hours in advance.

Cancellations cannot be made after the start time of the appointment or if you have not provided sufficient notice in advance. 

An appointment will be classed as missed if:

  • If you do not cancel your appointment 24 hours in advance, unless you have mitigating circumstances.

Your appointment will also be marked down as a missed appointment if you are late to your appointment, unless you have mitigating circumstances:

  • For our appointments that are scheduled for 20 minutes, you will be classed as missing your appointment if you are 5 minutes or more late.
  • For our appointments that are scheduled for 40 minutes, you will be classes as missing your appointment if you are 10 minutes or more late.

If you are late to your appointment your adviser will not be able to see you, and you will need to reschedule your appointment to a later date.

The Careers and Employability Service will send an email to you following a missed appointment, to remind you of our attendance guidelines.

Your ability to book appointments on MyCareer can be suspended if multiple appointments are missed and not cancelled in advance.

  • If you miss 2 in a 30 day period, your ability to book appointments will be suspended for 14 days.
  • If you continue to miss appointments with us, the Careers and Employability Service will be in contact to discuss further action as appropriate.

You will still be able to access your MyCareer account as usual to search for jobs, volunteering opportunities, book events and all other areas. Our drop-in service will also be available to you if you have a quick query, this information and advice service is available on a first come first served basis between 2pm - 4pm each weekday during term-time.

We understand there may be times where you are unable to provide us with 24 hours advance notice that you will be unable to attend your appointment. If measures could have been taken to avoid late cancellations or late arrivals, we expect these would be considered. These guidelines are subject to the discretion of our staff.

 

Event Attendance

We expect students and graduates to behave in a professional manner and be prepared, punctual and if unable to attend a booked event, remember to cancel in advance.

The Careers and Employability Service provides a large number of opportunities for students to attend events.  Non attendance at events has a detrimental effect on students, organisations and the service.   Many events involve external visitors such as employers or alumni and absences result in:   

  • Stopping other students attending an event and benefitting from the shared advice, information and guidance.
  • Creates a negative impression of the University for any visitors such as alumni or employers. 
  • Poor use of staff time. 

 

Our event guidelines

  • We ask that you arrive 5 minutes before the event is due to start and let us know you have arrived by registering with the Careers Team on arrival.  If the event is online we will register you automatically. 
  • You will be sent a booking confirmation email at the time of booking, and additionally a booking reminder email the day before the event.  If the event is virtual, we will send you an access code 1 hour before the session is due to start. 
  • If you are attending an online event, please ensure that you are in a suitable environment.  You should be in a quiet place where you are able to concentrate and interact with the presenter.   We would ask that unless advised otherwise you keep your camera on and sound off.

Please ensure you are attending the event that you book with Careers and Employability. If you are no longer able to attend, we ask that you inform us 24 hours in advance. This is because we often have waiting lists for our events and it allows us to allocate your space accordingly.

Cancellations cannot be made after the start time of the event or if you have not provided sufficient notice in advance. 

An event will be classed as missed if:

  • You do not cancel your booking in advance, unless you have mitigating circumstances.
  • If you are 10 minutes late then this will be classed as a missed event and you will not be admitted to the event.  Anyone attending within 10 minutes of the start time will be admitted at the discretion of the presenter.

The Careers and Employability Service will send an email to you following a missed event, to remind you of our attendance guidelines.

Your ability to book events on MyCareer can be suspended if multiple events are missed and not cancelled in advance.

  • If you miss 2 in a 30 day period, your ability to book events will be suspended for 14 days.
  • If you continue to book onto events but fail to attend, the Careers and Employability Service will be in contact to discuss further action as appropriate to the individual - this may include freezing access temporarily for longer than the stated 2 weeks.

You will still be able to access your MyCareer account as usual to search for jobs, volunteering opportunities and all other areas. Our drop-in service will also be available to you if you have a quick query, this information and advice service is available on a first come first served basis between 2pm - 4pm each weekday during term-time. 

We understand there may be times where you are unable to provide us with advance notice that you will be unable to attend our event. If measures could have been taken to avoid late cancellations or late arrivals, we expect these would be considered. These guidelines are subject to the discretion of our staff.
