As you near the end of your academic journey at the University, it’s time to start thinking about the data, documents and emails you wish to keep after you leave. 
Following your course finish date, you’ll have a limited period of time to continue accessing University IT services. After this, you will lose access to your past data, which will be automatically erased.
 

❗We strongly advise you to make copies of your files and other valuable content stored on the University systems - including emails, Google Drive and any other University services -  and securely store them in your own personal storage before the closure of your University accounts.
 


Continuing as a student?

If you’re partway through your course and continue as a registered student at the University this September, rest assured that your IT account will remain fully available and all your current services will continue.
 

 

Your Checklist

☐ Transfer your files and work currently on University systems to secure personal storage. Our Service Desk can provide help and advice.

☐ Update any subscriptions linked to your University email address and transfer them to your personal email account.

☐ Return Library books.

 

Regrettably, extending the duration of accounts beyond the dates listed is not possible and your access will be closed.

 

Closure dates for your services

University Service Closure Date

Physical services

  • University Card access, and any access to secured University buildings (excluding the Library).
  • Laptop Locker Loan Service.
  • Student Engagement and Attendance Monitoring.
End date displayed on your University Card.

Software and network services

  • Access to our network including your University Computer Account and Eduroam wireless network. 
  • University Remote PCs
  • AppsAnywhere.
  • University Microsoft 365, Teams and OneDrive.
  • Microsoft Office installations you have registered on your own devices using a University account.
  • N & K Drives.
  • Moodle VLE, Student Portal, Panopto, LinkedIn.
     
  • Library online resources requiring your University Login and MFA, including online resources using Institutional Logins.
  • Access to the Library Building (to enable you to return loans, complete any resubmitted work, research and support employment opportunities).
5 months after your course finish date.

University Google Account

  • Including your up123456@myport.ac.uk email, Google Drive and any shared Google Drives that you have access to.
2 years after your course finish date. 

 

Our software licences are only valid for currently-registered students. Once you are no longer officially enrolled with us, you’re no longer eligible to use University software. You’re free to source your own personal licences for any software you’d like to use in the future.


Government data protection laws also mean that we must not keep your personal data any longer than necessary - so aim to close your accounts and information within a reasonable timeframe after you leave the University.
 

As a Portsmouth alumnus, you're part of a community of over 250,000 people around the world. 


After you finish your course, you can join the University Library as an ‘External’ member.

  • This is free and renewed annually.
  • This means you can continue to use the Library space for the majority of the year, and borrow books.
  • We are not able to offer access to online resources (ebooks, ejournals) with this membership.
  • More information and and application form are available on the Library website. 

Targetconnect is accessible through a local account directly associated with the service, separate from University credentials and can continue to be used.
