Awards and Verification Portal

How to request your award documents, share your achievements and verify your award

From 10 March onwards, once you have successfully completed your course, you will be able to access your award documents as digital documents free of charge through the University's new secure Awards and Verification Portal. The following documents will be available shortly after your award is confirmed:

  • Cover letter
  • Certificate
  • End of course transcript
  • Letter of verification
  • Diploma Supplement

When your documents are ready, you will receive an email with easy-to-follow instructions on how to register on the portal. Registration is quick and simple, and it will allow you to access your documents at any time.

One of the benefits of using the portal is that you can create "Connections" to securely share your digital documents with others, such as future employers or other institutions. This feature helps prevent document fraud and makes it easy for others to verify your qualifications. It also means you will never have to search for documents again as they will always be available to you in the portal.

Please note, from the start of June we will no longer be automatically printing award documents.

However if you would like to have printed versions of your award documents as well as your digital documents, you can easily order them through the portal.   Your first certificate and transcript will be printed at no charge, and you can choose to pick your documents up in person or provide us with a delivery address so we can mail your documents to you via  Royal Mail or courier.

If you unfortunately lose any of your documents in the future, you will be able to order replacement copies through the portal.

Awards and Verification Portal FAQs

The portal will allow you to view digital versions of your award documents. You will also be able to share your e-documents with third parties through the connections feature to verify your awards. Third parties will be charged a connection fee. You will be able to access the following documents through the portal:

  • e-Certificate
  • e-Transcript
  • e-Letter of Verification
  • e-Diploma Supplement

 

Your e-documents can be verified via a QR code visible on the e-document.

 

Initially, only graduates from 3 March 2025 will be able to access the portal.

We are aiming to provide access to our alumni community during 2025 and will contact each cohort as their access becomes available. 

 

 

You can access your digital documents for free once they have been published. You can share these with a third party, and the third party will be charged a connection fee.

If you wish to have a printed copy of your documents, you can request these through the Awards and Verification portal for free (postage charges apply).

If you lose your original documents you can purchase replacement hard copy documents, you’ll need to order these through our Awards and Verification portal for a fee.

 

Setting Up an Account – Student, Graduate or Alumni

We recommend you use a personal email address that you are likely to keep for a long period of time. You will need access to the email address if you forget your password and need to reset it. 

Please do not use your university email address as this will be closed after course completion

 

Please remember to update it in the Awards and Verification Portal before you close your old email.

You will need the following:

 

• First name. As registered during your time of study.

• Surname. As registered during your time of study.

• Your Student ID Number in full without the UP at the front (this can be found on official university correspondence and on your transcript and HEAR). 

• Date of Birth.

 

If you cannot provide all this information, this will delay access to the system as we’ll need to check and approve your registration. Enter the details that you recall and we'll be notified to run a check on the data. We may have to contact you for further information to ensure that we are granting access to the correct person.

 

Please check your email spam and/or junk folders as your email provider may not have recognised the sender as a safe sender and re-directed it from your inbox. If after checking your spam and junk folders you still have not received your confirmation email, please contact awards@port.ac.uk  providing your name, date of birth and student ID number (if known).

During the registration process your information is matched with the information held by the University for you. If any part of the information provided does not match the data set perfectly, your account registration will need to be checked and approved by the University. This could take up to 10-15 working days at busy times. Once checked your account will be released and you will be able to log in. You will need your email address and the password you created to log in.

Please contact awards@port.ac.uk providing your name, date of birth and student ID number (if known) if you are still unable to gain access 15 working days after initially registering.

The University has used a hyphen in our student records system in place of a name. At present we require at least one character in the names fields for the record to work and link appropriately in the chronicling of your academic progress and results. To complete the registration for the portal please put a full stop ‘.’ in the blank name field and this will let you complete your registration.

Using the Portal

You cannot download and print a copy of the e-certificate.

The University of Portsmouth Awards and Verification portal allows you to access and view your e-certificate and you can also share it with a third party.

If the screen version is printed, it would be unverified and would not pass the verification process. The QR code can be used to confirm the validity of the e-copy on screen and any hardcopy prints that the University has issued to you. The QR code will match the details on the certificate to the details in our records system.

 

From 1 June 2025, the University of Portsmouth will not automatically send out hard copies. You can order your first hard copy of your certificate and transcript for free via the portal.

If you notice an error on your documents, then use the ‘Report issue’ function (yellow button) in the view documents section of the student verification portal and describe the problem. This will send a message to the admin team and it can be checked for you.

 

Yes – you can create a Connection with third parties (employers, universities etc) giving permission for them to log in and view your qualification to verify its authenticity. See Connections on the dashboard to start. You choose which items to share. You will be asked how long you wish to allow access for. We recommend setting up a connection for a month or less. After this date, third parties will no longer be able to access your information.

The third party will be charged a connection fee to view one or all of your documents.  You will be able to remove the connection at any time.

Ordering Printed Copies

Students who graduated prior to 1 June 2025 will have their certificate and end-of-course transcript printed and sent to their home address. 

After this date, if you would like a printed copy of your award documents you can order these through the University of Portsmouth Awards and Verification portal free of charge and you can either collect your documents for free or pay for them to be posted to an address of your choice via Royal Mail or a courier service.

  • Your Degree Certificate: The first printed copy is free. If you lose your original copy or it gets damaged or destroyed you can purchase a replacement. 
  • An Academic Transcript of the modules and marks passed: The first printed copy is free. If you lose your original copy or it gets damaged or destroyed you can purchase a replacement. 
  • Verification letter: a letter confirming your award and the years enrolled at the University.  There is a charge for printed copies of this document.
  • Diploma Supplement: developed by the European Commission, as a document to allow easy recognition of your qualification by higher education institutions, public authorities and employers in your home country and abroad. There is no charge for printed copies of this document.

We accept Visa, Visa Debit, Mastercard and American Express payments.

We aim to process your request in 10-15 working days; however at peak times (July and November) this may take longer. Award documents can take up to two weeks to be delivered in the UK and 6-8 weeks for international addresses.

The Orders tab shows all orders that have been placed and the status of each order, as the image below shows.

 

 

The statuses are as follows:

- Paid

You have completed payment and the order is with the University for processing. 

- Processed

Your order has been processed and sent for delivery. You will receive an email once the order has been fulfilled (dispatched) and can also see the status in the UoP Awards and Verification Portal.

- Cancelled

Your order has been cancelled by the University.

If you have requested a printed copy of your award documents you can select how they are posted to you. We will send you an email with your tracking details. You can use this information to track your documents via the delivery service website.

Refunds will only normally be given if an order has not been processed, please email awards@port.ac.uk as soon as possible with your full name, student ID and order number (found in your confirmation email) and the reason you are requesting a refund.

Please make sure the subject of your email is: URGENT Refund required.

Third Parties

Third parties can register for our third party verification portal via the following link: thirdpartyverification.port.ac.uk. Once registered you can request to create a ‘Connection’ with a portal user. If the user approves your request, you will be able to view their documents for a connection fee, for a limited time.

Alternatively, you can request that a user invites you to create a connection with them. You will only be able to see the documents that the user has given permission to share with you. Documents are only valid when viewed in the Third Party Verification Portal.

If the graduate has given you a printed copy of their award documents, it will have two QR codes on it. 

  • The SmartVerify+ QR code on the front of the document can be scanned to verify authenticity. 
  • The Blockchain verification QR code on the reverse of the document can be scanned to confirm that it has been printed on genuine University of Portsmouth paper. 

 

Yes, there is a small charge per connection. All charges are subject to review. If you want to request a printed copy this will be an additional charge.
