Whether you're attending a virtual or in-person ceremony, here's everything you need to know about booking tickets for your loved ones.
Graduating students have been invited to choose whether you want to attend a virtual or in person ceremony. If you did not receive this invitation please contact email@example.com immediately.
If you have elected to attend the virtual ceremony, in April you will be sent a link to register on the Graduations.LIVE virtual platform.
We have now opened the ticketing service for in-person ceremonies in July 2021.
If you are eligible to graduate (and used our online form to inform us you would like to attend an in person ceremony) you can now confirm your personal details and book tickets for up to two guests using the "My Graduation" tab in your Student View.
If you previously selected to attend a virtual ceremony, or didn’t make a selection, you will not be able to book tickets in your Student View.
How to use Student View
If you haven't used Student View before, please sign in with the same username and password you used for the old student portal. If you have forgotten your username or password, please call +44 (0)23 9284 5588. Alternatively you can chat to the team using the purple chat box in the bottom right corner on the MyPort website.
As well as booking your tickets, there are also links to book gown hire and a photography session in the "My Graduation" tab.
How long do I have to book my tickets?
The option to book your tickets will remain open until 4.00pm on Friday 14 May. If you miss this date you will need to contact the graduation team via email at firstname.lastname@example.org. Once the deadline has passed we can’t guarantee that there will be tickets available.
If you are an international student, you can request a visa support letter for yourself and your guests as part of the booking process. If you are unable to travel to the UK at the time of your ceremony due to international travel restrictions, please email email@example.com as soon as possible to discuss your options.
How guest tickets work
Tickets for Graduates and up to 2 guests are free. You won’t sit with your guests during the ceremony. Unfortunately, we cannot accommodate further guests following guidance from Public Health Portsmouth.
The ceremony will be live streamed on the University’s YouTube channel for any family that are unable to attend in person. Guests are seated separately to Graduates.
Booking additional tickets
At the present time tickets are limited to two guests per student. If following the outcome of the government’s scientific Events Research Programme and having taken advice from Public Health Portsmouth, the Guildhall is able to increase their capacity we will look into the possibility of offering additional guest tickets.
Additional tickets, if available, will cost £15 per person.
We’ll email you if and when additional tickets are available for your ceremony.
Child tickets are free; they are included within your two free tickets. Children aged 2–12 need a ticket. Infants (ages 0–2) don’t need a ticket but we need to know if you’re bringing an infant due to the restrictions on numbers for fire and safety regulations at the venue. Let us know you need an infant ticket by providing details in the ‘special requirements’ field when you book your guest tickets.
If you’re bringing children, bear in mind that the ceremony is a formal occasion and lasts for around 1.5 hours. Depending on whether a child is comfortable sitting for that long, guests with young children may wish to watch the ceremony live online.
If you or one of your guests has a registered carer, we’ll provide an additional free carer ticket. Let us know you need a carer ticket by providing details in the ‘special requirements’ field when you book your guest tickets.
Requests for specific or accessible seating
If you or your guests need specific seating or need help accessing the venue, let us know when you book your tickets by using the ‘special requirements’ field. We’ll do our best to accommodate your request. If you’ve already booked tickets, you can update your booking by logging into MyGraduation via your Student View.
We may contact you to confirm exactly what requirements you need so you have the best possible experience on the day.
If you or your guests use a wheelchair, let us know when you book your tickets by using the ‘special requirements’ field.
If you’re an MRES student and think you’ve been invited to the wrong ceremony, email us firstname.lastname@example.org so we can investigate. Include your name and student number.
Learning at Work students
If you’re a Learning at Work student, your booking form may not have the correct course title. This is because Learning at Work courses appear differently on your student record.
You’ll still graduate on your expected degree programme and the details will be correct on the day.
Late ticket bookings
If you haven’t booked your ticket you should contact the Graduation team on email@example.com immediately. It may not be possible for you to attend an in-person ceremony if you don’t book within the ticket booking period.
You don’t need to wait until you know your results to book tickets, formal photography and academic dress. If you can’t attend a graduation ceremony due to academic reasons, you’ll receive a full refund from University and its external providers.
To cancel tickets you no longer need login to your Student View and select the MyGraduation tab.
Once you’ve booked tickets, we can only give refunds for academic or visa reasons, or in exceptional circumstances.
Requests for refunds should normally be received within 30 days of the last graduation ceremony. All approved refunds will be credited to the account used when making the original payment.
As a general rule, refunds will not be approved if you decide to attend another event such as a holiday or wedding rather than your graduation.
If you’re unable to attend your graduation ceremony due to academic reasons, you’ll automatically receive a full refund of any monies paid to the University or any of its external suppliers. (This doesn’t include if you’re eligible to attend the Graduation ceremony if you’ve been awarded an Ordinary Degree.)
If you or any of your guests receive a visa refusal you should cancel the relevant tickets via MyGraduation on your Student View and upload evidence of the visa refusal. We’ll then review the request for a refund.
Exceptional circumstances that could result in a refund include (but are not limited to):
- Jury service
To request a refund for exceptional circumstances, cancel the relevant tickets via MyGraduation on your Student View and upload evidence of the exceptional circumstances. We’ll then review the request for a refund.
Booking tickets for a different ceremony
It’s not normally possible for you to attend a ceremony that isn’t the scheduled ceremony for your school/department.
If you can’t attend your scheduled ceremony due to exceptional circumstances you can request a deferral to a different day or the following year.
If you’re not attending your Graduation
If you can’t or don’t want to attend your Graduation, you should select “Attend in absentia”. Your name will still be printed in the ceremony programme but will not be read out on stage or be displayed on the virtual platform. If you do not wish to have your name printed in the ceremony programme you should contact firstname.lastname@example.org to withdraw your consent.
If you want to stop receiving Graduation emails, please email email@example.com and we’ll remove you from the mailing list.
