

Student overseas travel
Guidance for completing the student overseas travel process and risk assessment
If you are a student and planning to travel overseas as part of your studies, you must follow the correct process for your application to be successful. This webpage will guide you through this process.
Step By Step Guidance
Before travel
The necessary steps below must be completed at least six weeks before departure. If they are not submitted six weeks prior to travel, it will be the Faculty's decision as to whether they will allow a late request.
- Complete the Student Overseas Travel Risk Assessment Form, for the Country to be visited.
- Once complete, submit the Permission to travel Form.
- Submit the completed Overseas Travel Risk Assessment and confirmation of completion of the permission to travel form, together with the proposed travel schedule and itinerary, to the relevant Mobility Team using the Faculty contact email addresses in the tab below. Students should also inform their Tutor / Exchange Co-ordinator / Placements Officer of completion of these forms.
- The Mobility team will review and decide whether to accept or reject the proposed overseas travel request.
- If the overseas travel request is approved, travel will be covered by the University's Travel Insurance Policy. It should be noted that graduates who are going on graduate placement or internship programmes are NOT covered and will need to arrange their own travel insurance.
- Once approval has been received, students can then organise booking and paying for travel and accommodation.
- The student's travel details and itinerary will be uploaded into the Healix Sentinel System by the School administration, providing further information about the Country's risk profile. Students must download the Healix Sentinel Travel Oracle App (guidance can be found here).

During travel
- When travelling abroad, students must switch on GPS tracking, so that active monitoring of risks can occur and support can be provided if the situation presents a risk to them.
- After arriving at their destination, students must then confirm safe arrival to goabroad@port.ac.uk.
- Staff / Tutors responsible for organising the mobility must ensure there is a process of regular check-in with the student. These should take place at least once per fortnight for short mobilities (one teaching block or shorter), and monthly for year-long mobilities.
- Students should continue to periodically reassess risks to ensure mitigations continue to be appropriate and relevant. Where the risk has changed, the student should contact their tutor to reassess the risk and mitigations in place.
