Emailing students

The email Students facility enables you to create a distribution list using faculty, course, or unit-based parameters and send emails to the selected groups of registered students. Parameters can be saved and used at a later date.

  • Use the email Students facility under My Services to email a group of Students. Distribution lists can be created by Faculty / Department, Course or Unit. For example, if you wish to email all first year students studying BSc (Hons) Sociology, you would select:
    • Course Distribution List
    • Faculty: Faculty of Humanities and Social Science
    • Course: C0315F – BSC (HONS) SOCIOLOGY
    • Academic Stage: 1
  • You will then be given the option to View the students your parameters have retrieved, save your parameters or send an email to the selected students.

Follow the process to email a group of students and, on the screen in which you would compose your email, you can choose to save your parameters.

By saving a distribution list, you are saving the selected parameters, which will perform a new query each time you use your list to ensure that accurate data is retrieved on each use, and exclude students whose status may have changed since the last time the list was used.

To use your saved parameters, select My Student Email Distribution Lists from the main email Students menu.

For each saved list you can Send email, View Students or Delete List.

No. You will need to delete unwanted lists that you have saved and create a new distribution list.

If you no longer require a saved parameter list, select the appropriate Delete List option within the My Distribution Lists layout.

No, the parameters are only saved to your personal Portal account.

No, just the parameters.

The system will perform a new query each time you use your list to ensure that accurate data is retrieved on every time, and excludes students whose status may have changed since the last time the list was used.

Please note, if you have manually removed individual students from the list this will need to be repeated each time you use the list.

To choose more than one value from the list, hold down the key when making the selection(s).

No. You must supply at least one parameter, but the more parameters that are selected the more refined your search will be.

All students’ email addresses will be inserted into the Bcc field to ensure data protection requirements are met.

You will automatically be sent the email, i.e. the email will be sent to you with a Bcc to all students on the distribution list.
